    How to access licence and profile management for my organisation?

    Tixeo V18 licence and profile management is done from the Tixeo server administration interface.

    1. Log in to the Tixeo web interface (https://cloud.tixeo.com) using an Organization Manager or Profile Manager account.
    2. In the left sidebar, under the Administration section, click on Organisations.
    3. Click on your organisation’s name to access its detail page.
    4. The organisation page displays three main sections:
      • Licence: information about the Tixeo licence provided by Tixeo (product, number of organisers, expiry date).
      • Profiles: list of profiles created within the organisation, each grouping organisers with specific meeting options.
      • Profile Managers and Organisation Managers: users with administration rights over the organisation.

    Note: Only an Organisation Manager has access to all sections. A Profile Manager only sees the profiles they are responsible for.

    How to view my organisation's licence?

    The Tixeo licence is provided by Tixeo and linked to your organisation. It defines the product used, the maximum number of authorised organisers, and the expiry date.

    Steps:

    1. Log in to the Tixeo administration interface.
    2. In the left sidebar, click on Organisations.
    3. Click on your organisation’s name.
    4. The Licence section is displayed at the top of the page.

    Available information:

    • Organisation name: name of the organisation as registered in Tixeo.
    • Product: licence type.
    • Number of organisers: maximum number of organisers authorised by the licence.
    • Expiry date: the date the licence expires.

    A Show licence history link allows you to view past and active licences (see dedicated topic).

    Important: If the expiry date has passed, organisers can no longer create or join meetings. Contact your Tixeo sales representative for renewal.

    How to view the licence history of an organisation?

    Tixeo keeps a history of all licences associated with your organisation, allowing you to track renewals and changes.

    1. Log in to the Tixeo administration interface.
    2. Click on Organisations, then on your organisation’s name.
    3. In the Licence section, click the Show licence history link.
    4. The Licence history table is displayed below the active licence information.

    Table information:

    • Product: licence type.
    • Expiry date: expiry date of each licence.
    • Number of organisers: organiser capacity of each licence.
    • Status: licence status — ACTIVE (current) or EXPIRED (expired).

    To hide the table, click Hide licence history.

    What is a Tixeo V18 profile and what is it used for?

    In Tixeo V18, a profile is a group of organisers sharing the same meeting options within an organisation. The profile defines the conditions under which organisers can create and manage meetings.

    Role of a profile:

    • Group organisers according to their needs (team, department, security level, etc.).
    • Define the meeting options available to this group (account-free access, browser access, SIP/H.323 access, phone access).
    • Allow selection of the profile when creating a meeting in the Tixeo application.

    An organizer belonging to multiple profiles can select the profile that matches the meeting settings when creating a meeting. Otherwise, the default profile of their organization will be used.

    How to create a new profile?

    You can create as many profiles as needed within your organisation to adapt meeting options to your different teams.

    1. Log in to the Tixeo administration interface.
    2. Click on Organisations, then show detail on your organisation’s name.
    3. In the Profiles section, click the + Add a profile button.
    4. In the window that opens, enter the Name for the new profile.
    5. Click Add a profile.

    The new profile is created and appears in the list. It is created disabled by default — you will need to activate and configure it before organisers can use it.

    How to rename, activate, deactivate or delete a profile?

    From the Summary tab of a profile, you can perform the main management actions.

    Accessing the summary:

    1. Log in to the Tixeo administration interface.
    2. Click on Organisations > your organisation’s name.
    3. In the Profiles section, click Manage next to the relevant profile.
    4. The Summary tab displays: Name, Default profile, Enabled, Organisation name, Number of meetings.

    Rename a profile:

    1. Click Rename.
    2. In the window, enter the New name and click Change name.
    3. A confirmation message appears in the top right.

    Activate a profile:

    1. Click Activate.
    2. The profile becomes visible and usable by organisers in the application.
    3. The button changes to Deactivate once the profile is active.

    Deactivate a profile:

    1. Click Deactivate.
    2. The profile remains in place but is no longer visible in the Tixeo application.

    Delete a profile:

    1. Click Delete.
    2. Confirm the deletion.

    Warning: Deleting a profile is irreversible. Organisers linked to this profile will lose their access.

    How to configure meeting options for a profile?

    Tixeo allows configuring different access levels for meetings created from profiles.

    1. Log in to the Tixeo administration interface.
    2. Click on Organisations > your organisation’s name.
    3. In the Profiles section, click Manage next to the relevant profile.
    4. Click on the Meeting options tab (enabled/disabled via a toggle button):
      • No account required: allows participants to join a meeting without a Tixeo account.
      • Web browser access: allows joining a meeting from a web browser (WebRTC), without installing the application.
      • Access from a SIP / H.323 meeting room: allows connection from SIP or H.323 compatible video conferencing equipment.
      • Phone access: allows joining a meeting via a telephone call (PSTN).
    5. Enable or disable the desired options.
    6. Click Validate to save changes, or Cancel to discard them.

    How to add an organiser to a profile?

    An organiser is a user with the right to create and manage Tixeo meetings within your licence. Organisers are added at the profile level that corresponds to them.

    1. Log in to the Tixeo administration interface.
    2. Click on Organisations > Show Detail your organisation’s name.
    3. In the Profiles section, click Manage next to the relevant profile.
    4. Click on the Organisers tab.
    5. The page shows the number of currently active organisers and the number of remaining invitations.
    6. Click the + Add organisers button.
    7. In the window that opens, enter the user’s email address.
    8. Select the language for the invitation from the dropdown menu (English, Français, Deutsch…).
    9. Click Validate.

    What the invited user receives:

    • If they do not yet have a Tixeo account: an email inviting them to create their account.
    • If they already have a Tixeo account: an email informing them that they are now an organiser of the profile.

    Note: The total number of organisers across all profiles cannot exceed the number of organisers authorised by your licence.

    How to add a new subscription to an organisation?

    If you want to subscribe to an additional subscription for an existing organisation, you can do so directly from the organisation’s page on cloud.tixeo.com.

    Steps:

    1. Log in to cloud.tixeo.com.
    2. In the left sidebar, click on Organisations.
    3. Click View details next to the relevant organisation.
    4. In the Subscriptions section, click the + Add a subscription button (top right).
    5. Follow the form steps to configure the new subscription.

    Note: A single organisation can have multiple active subscriptions simultaneously, for example for different teams or needs (number of seats, features, duration).

    If the + Add a subscription button is not visible, your account may not have the required permissions. Contact your Tixeo administrator or support.

    What is a profile manager and how to add one?

    A profile manager is a user who can administer an organisation’s profiles: add or remove organisers, configure meeting options. They cannot manage the licence or organisation managers.

    Add a profile manager:

    1. Log in to the Tixeo administration interface.
    2. Click on Organisations > your organisation’s name.
    3. Scroll down to the Profile Managers section (below the profiles list).
    4. Click + Add a profile manager.
    5. In the window, enter the user’s email address.
    6. Select the language for the invitation (English, Français, Deutsch…).
    7. Click Validate.

    The user receives an email and can then log in to the administration interface to manage profiles.

    Other actions available in this section:

    • Export profile managers: downloads the list in CSV format.
    • Delete: removes the profile manager role from the user.

    Rights reminder: A profile manager can only manage profiles. To manage the licence and appoint other managers, you must be an organisation manager.

    What is an organisation manager and how to add one?

    An organisation manager is the highest administration role in a Tixeo organisation. They can manage the licence, profiles, profile managers.They can only be managed by a Tixeo Administrator for cloud.tixeo.com, contact support.

    Organisation manager rights:

    • View and manage the licence (history, renewal via Tixeo).
    • Create, modify, activate/deactivate, and delete profiles.
    • Add, modify, and delete profile managers.
    • View the organization’s statistics

    Important: Always ensure at least one active organisation manager remains in your organisation to maintain access to the administration interface.

    How to check the expiry date of my licence?
    1. Log in to cloud.tixeo.com.
    2. In the left sidebar, click on Organisations.
    3. Click View details next to the relevant organisation.
    4. In the Subscriptions section,
    5. Show the Expiry date

    Important: If the expiry date has passed, the subscription has expired and organisers can no longer hold meetings. Contact your reseller to renew.
